NBH Medical Workforce 

The Northern Beaches Hospital Medical Workforce Unit (MWU) provides support on all aspects of Junior Medical Officer (JMO) and Senior Medical Officer (SMO) employment. This includes all JMO matters relating to the Northern Beaches Hospital, Northern Sydney Local Health District, the Networks, HETI and the Colleges. The JMO Unit sits within Medical Workforce and provides specific advice and support to JMOs relating to recruitment, onboarding, rostering, payroll, leave management, education and pastoral care. This includes JMOs employed directly by Healthscope, as well as NSW Health employees who are rotating to Northern Beaches Hospital.

Key Information for Doctors

Welcome to Northern Beaches Hospital. If you are new to NBH, you will receive communication from our JMO Unit about what to expect on your first day and advise if attendance is required at an Orientation session. We will cover a range of topics at Orientation and will issue your ID/Access Card on the day. If an Orientation session cannot be scheduled, you will receive key reading to help you prepare for your role at NBH and a one-on-one eMR/eMeds session may be scheduled at a later date.

eMR/eMeds

Training will take place on your first day if you have not worked at NBH in the previous 24 months. Our eMR system is different to LHD facilities, so please refer to this handbook to assist you in becoming familiar with our eMR. Provider Number /Prescriber Number

All clinicians working at NBH require a Medicare provider number (specific to NBH) or prescriber number (this is a lifelong number, not site specific), or both. If you haven’t applied one, please submit an application (Click Here) using the details from the JMOU. You will be asked to provide your details/evidence of application before commencement.

IMPORTANT: We will not be able to provide you with all required IT Access until we have your Prescriber Number. Please provide this by emailing the JMO Unit.

AHPRA

AHPRA works in partnership with the National Boards to ensure that Australia’s registered health practitioners are suitably trained, qualified and safe to practise. You are responsible for ensuring your registration with AHPRA is current at all times. Please let us know if your registration is due for renewal or you need assistance with anything. If your circumstances are changing, you must let AHPRA know. Please contact the JMOU if you are unsure what is required of you.

Indemnity Insurance

JMOs are provided with basic indemnity through the hospital’s insurance fund for work performed by them for the Hospital. However, if JMOs undertake work outside the hospital, paid or unpaid, this is not covered by the hospital’s indemnity arrangements. Management recommends all JMOs carry their own independent medical indemnity cover, the level of which should be determined by you.

Computer/IT Access

You will receive an email/text with your login details prior to your shift commencement. This will come through to your personal email address and mobile number. You will automatically be allocated a Healthscope email address, although this usually appears up to 1 week later.

IMPORTANT: Please check your junk mail and notify the JMO Unit if you have not received your login the day before starting.

Rosters

A link to access the NBH Google Drive Roster will be sent to you prior to your first shift. Rosters are live documents and should be checked daily for updates once you have commenced.

Communication

The JMO Unit will utilise your nominated mobile and email for communicating with you unless advised otherwise. We are aware that you receive numerous emails so will endeavour to send a regular update (Newsletter) to highlight some of the most important communication you have received and provide helpful information from the JMO Unit. Please continue to check your emails regularly for any urgent updates that come through such as safety alerts and education opportunities. If you aren’t receiving correspondence, please let a member of the team know.

We encourage you to talk with your colleagues, your team and your supervisors, and if you have any issues or queries regarding your time here, please contact the JMO Unit, located within Medical Workforce. Some helpful points for escalation are included below:

  • If you have any concerns about what happens during a shift:
    • Please speak to your term supervisor or training supervisor in the first instance. You can also raise any issues with the DPE, DPET or JMO Unit.
  • If you witness or are involved in a clinical or corporate incident:
    • Please immediately notify your supervising Consultant on shift of any clinical incident and complete a RiskMan notification via the intranet. For any corporate incidents please notify the NUM in hours or the After Hours Manager and complete a RiskMan notification.
  • If you have any concerns about your registration or accreditation, AHPRA renewal, visas, contracts etc:
    • Please contact the JMO Unit at either MVH (LHD employees) or NBH (Healthscope employees).
  • If you are concerned about any matter, or wish to make a complaint during your employment/rotation to NBH:
    • You are encouraged to raise your concerns with the NBH JMO Unit in the first instance and we can support you.

The clinical year begins on the first Monday in February each year in line with the other States within Australia. Interns begin two weeks before this as part of their orientation.

Car Parking

Car parking is available at the multi-storey car park adjacent to the hospital (large signs at each entrance). Please ensure you use the “Visitors” parking entrance on the first day as you are not able to enter via ‘Staff Parking’ without a Security Access Card. Take a ticket on entry and then proceed into the carpark.

You will then be able to load parking to your Security Access Card (supplied at Orientation), or collect a concessional voucher at a rate of $5.60 per day. Total cost is usually approx. $20 per week and there is plenty of parking available. If you choose to sign up to parking, it can be deducted from pay (for HSP staff), or you can purchase a package (for HSP or LHD staff).

Packages can be obtained through the Security Department, or when you get your Access Card from Level 4 Education Centre. We have packages valued from $10-$100. Packages are applied to your Staff Access Card so you can swipe in and out at the car park at a cost of approximately $4.77 per day. Alternatively, you can collect Concierge vouchers ad hoc at a rate of approximately $5.60 per day.

ID/Access Cards

You will be allocated a staff ID access card, as this will allow you to use the car park, and to get around the hospital. Please report to Security immediately if you lose your pass so that access can be terminated. Passes should be carried at all times for indentification purposes.

Amenities

  • JMO Lounge - located in the Education Centre, Level 4 (for JMO use only).
  • Lockers – located outside the JMO Lounge for your use during your shift to keep your valuables safe. It is expected you vacate your locker for others to use when finished. Please try and remember your pin, you will set a new one each day.
  • JMO Workroom – located near the JMO Lounge, this room includes 8 computers, a printer, and a NSW Health laptop to access the NSW Health intranet and policies.
  • Kitchenettes - each clinical area has a staffroom with lockers and kitchenettes, with free tea and coffee facilities. There are staff kitchenettes on each level as well. Please note that you cannot use the Education Centre kitchenette on Level 4 afterhours, so please use the Kitchenette at the end of Level 4 instead if you are working in this area.
  • Bike Racks - available onsite.
  • Expressing Room - available in the Special Care Nursery on Level 2 (fridge allocated).
  • On-call rooms (see on-call room section).
  • Cafes - there is a retail area on the ground floor serving coffee, food and beverages from 0600-2000 daily. Staff are entitled to a discount with Zouki - show your ID for 10% off!
  • Wi-Fi is available throughout the hospital. You can connect to the onsite WiFi (Healthscope-Doctors) usingyour network log-in details.

Healthscope employees - you must record your presence when you enter and leave the building using the Dimensions Clocks. This is a requirement for those with a Healthscope contract. Your security card acts as your timecard, which, as well as giving access to the building and carpark, provides the JMO Unit with visibility and auditability of rostered shifts and all types of leave. Time clocks can be found in atrium hallways on every floor near the lifts, near the entrance to ED on Ground Floor and opposite the JMO Lounge entry on L4. Education /Meetings

There are in-house teaching programs for Ortho, Surg, ED, and Geriatrics, so please refer to your department for times. All JMOs are encouraged to attend hospital meetings/education, including:

NBH JMO rep & Exec meetings – Please speak to your RMOA reps about any systems issues you want them to raise.

RMOA Monthly meetings - giving you an opportunity to meet with the JMO Unit and Executive reps.

GCTC (General Clinical Training Council) - as JMOs your attendance at the GCTC meetings each term is vital. Your input to these meetings helps to inform the hospital exec if there are any issues affecting JMOs and helps to come up with solutions to solve them! You will all be invited to the GCTC which occurs around midterm –we’ll be organising free lunches for these so come and get fed and get involved.

Grand Rounds are held every Wednesday from 12.00pm to 12.45pm, in the Education Centre or via zoom.

Process Review – Finalising Discharge Medications

The process for finalising discharge medications (in order to pull them into the discharge summary) may look a little different at NBH compared to other facilities. At NBH, it is the JMOs responsibility to finalise discharge medications. Failure to do so, may mean that patients go home with a discharge summary that hasn’t had the medication list populated.

Please ensure you follow the NBH discharge medication process as outlined below:

1. JMO to do discharge reconciliation and pull medications to discharge tab

2. JMO to finalise medications so list is pulled into discharge summary in EMR (but discharge summary should not to be signed off until pharmacist has reviewed)

3. Pharmacist review discharge meds that were finalised by JMO

4. If any changes are required, the pharmacist will liaise with the team to amend the discharge medication list and re-finalise the discharge meds to be updated in the discharge summary. If no changes are required then the pharmacist will not need to refinalise the discharge meds.

5. JMO finalises discharge summary in EMR (or re-finalise it if already signed off before changes made to the meds)

JMO Task List

Please all ensure before you go home at the end of each day to delete any tasks on the JMO task list that you have completed.

This will make a huge difference to the evening team. Make it a part of your routine to check every afternoon before you leave. As a reminder, our Medicine Evening shift now commences at 1.30pm, so please let the evening team know if you need assistance with tasks or you haven't had a lunch break.

Risk Management

All staff are responsible for the identification, analysis, evaluation, treatment and ongoing monitoring of risk. The Healthscope Risk Management System 'RiskMan' allows staff to fulfil this responsibility. It is the system in which all incidents, both clinical and non-clinical, are lodged and managed.

Access to Rosters

All NBH rosters are released via google sheets in the NBH Google Drive. Please save the link emailed to you when you commence each term - it is a live document and is updated daily.

  • ED rosters are managed via Deputy Software – contact ED for your roster if not received.
  • Changes to rosters are generally marked in a different colour, which helps us identify a change in shift so that we can update your roster in our payroll system. Please refer to the legend on rosters for each department.

Your roster is used to pay you correctly, ensure you accrue the right entitlements, and can be used to audit overtime claims – please check your roster is accurate and let us know if you notice something is incorrect.

You will also find usefil information on the INFO tab of your roster to help explain shifts and legends. Please read carefully.

On-Call Roster & After Hours

We use an after-hours/ on-call roster to ensure appropriate coverage of the hospital after hours and reduce the impact of unplanned leave such as due to illness. Please ensure you are checking all of your rosters regularly and advise of any discrepancies that you may notice. If you need any assistance understanding the rosters, please visit a member of the JMO Unit.

Most departments will have some kind of on-call commitment. You will be paid an On-Call allowance for each occasion as per your relevant industrial award and you are expected to be aware of when you are On-Call and what this means. Be prepared for activation at any time and for any reason.

As a rule, when you are On-Call:

•Update your calendar with any changes to the roster as notified

•Be prepared to be sent home and return at night, or have a delayed start if a night doctor is unavailable

•Notify the JMO Unit or the After-hours Nurse Manager (outside working hours) if you are unwell or otherwise unfit to be On-call

•Consider packing a bag to bring to work and be prepared for activation

•Book an on-call room if you feel you might need a place to rest after your shift.

See the section on shift swaps for information about what to do when you need to swap a shift or an on-call shift. Do not wait until the last minute to do this as it can be very difficult to cover.

Unrostered Overtime Claims

Healthscope JMOs must send completed overtime claim forms and call back forms to NBHJMO.OTclaims@healthscope.com.au with the details of the last patient you saw that day and the date of the claim. If you do this each fortnight, your claims will be paid quicker as we can utilise the verification function. Forms that are submitted without the appropriate commentary or are submitted in bulk (outside of the relevant pay cycle) will not be prioritised. Where possible, we will endeavour to process approved claims within 2-4 weeks from when you submit your claim, provided you complete correctly.

Missed Meal Break Claims

All shifts Monday to Friday over 5 hours have a 30-minute unpaid meal break deducted. Claims for missed meal breaks are to be submitted as soon as possible after the shift has ended. They should not be submitted any later than two weeks after the date the break was missed. Where possible, you are encouraged to take two smaller breaks in lieu of one large break to make up your meal time, and you cannot choose to skip your break if there is no requirement for this.

You will generally find that your team is supportive of taking smaller breaks rather than skipping it all together, and you should try to prioritise your wellbeing where possible. If you haven’t had a chance to take a break by 2pm, our Evening shift now commences at 1.30pm and can help cover your break, so please let the evening team/Med Reg know if you need assistance with organizing a break.

To claim for a missed meal break you must email the JMO Unit on the day that you missed your break or within 2 weeks from the date missed (ideally in the same pay period). This email is used for verification checks and to help us identify pressure points amongst teams.

LHD Staff - please submit your claim via UROC and email NBHJMO.OTClaims@healthscope.com.au the date of the missed break. No forms should be submitted.

Healthscope Staff - if claiming for a missed meal break, please email the JMO Unit on the day that you missed your break or within 2 weeks from the date missed (ideally in the same pay period). This email is used for verification checks and to help us identify pressure points amongst teams. Meal Allowance Voucher

Please note that if you are required to work unrostered overtime beyond your normal shift (must meet the relevant criteria), and you did not have advance notice of this, you may be entitled to receive a meal allowance voucher for use at the onsite Zouki Café at NBH. Vouchers can be collected from the JMO Unit and are valid for purchases up to the value of $30. If you are unable to collect the voucher on the day, it will be provided retrospectively. All meal allowance claims need to be validated against the criteria outlined by the Ministry of Health. Please contact the JMO Unit if you are unsure whether you qualify for a meal allowance voucher.


ADO Requests - NSW Health JMOs ONLY

ADOs are important for your wellbeing and we aim to roster ADOs while you are at NBH. You may be allocated ADOs in a particular week if appropriate. If ADOs are not allocated on your roster, we will ask that you discuss and gain approval from your team/consultant to select a day when your absence will have minimal disruption to the team.

For example, if you are allocated an ADO on a Wednesday but you know you will be post-take, you may like to swap to the Monday instead. In this instance, an email to the JMO unit is required to confirm swap of days. New ADO requests will be marked with to be confirmed (TBC) if they are not confirmed by your team.

For all approved leave, please submit a copy of your request in SARA for our LHD colleagues. All approved annual leave must also be submitted in SARA.

All planned Leave such as ADOs, Annual Leave, Study Leave and planned sick leave should be approved by the JMOU in advance. Any additional/ad-hoc leave requests or shift swaps will be considered by the JMO Unit in light of service requirements and safe work hours. Whilst we will always do our best to support your request, it is essential that you do not book flights or accommodation without approval.

Study leave is available to staff subject to needs of the service, and must meet criteria e.g. leads to higher medical qualifications, and when obtained, would be relevant to the hospital.

For HSP employees, your leave requests are to be submitted directly to the department as per the nominated process. Generally, your roster manager will contact you before the roster is finalised. E.g. for Medicine RMOs, SRMOs, Registrars, you will receive a link to your preference planner. Do not make plans without approval.

Annual Leave Approval - for NSW Health Employees ONLY

If leave is approved by NBH, please enter it into SARA once you see it published on a roster. SARA is the platform our LHD doctors use to apply for leave. It is something you can access at home on a personal device.

  • Interns/RMOs - Recruited through Hornsby. Allocated 4 weeks leave during your relief term. Dates to be allocated by NBH.
  • Unaccredited General Medicine Trainees - Recruited through Mona Vale. Leave requests taken prior to each term via the Medicine Leave Planner (sent from the NBH Medical Workforce Manager).
  • General Medicine Advanced Trainees - Recruited by RNSH. Leave requests taken prior to each term via the Medicine Leave Planner (sent from the NBH Medical Workforce Manager). As a rule, if you are rotated to the NBH for 6 months, you can request 2 weeks leave.
  • Basic Physician Trainees - Recruited by RNSH. Leave approval and relief is the responsibility of RNSH and relievers are allocated to NBH.
  • Geriatric Medicine Advanced Trainee - Recruited by Mona Vale. Leave requests taken prior to each term via the Medicine Leave Planner (sent from the NBH Medical Workforce Manager). As a rule, if you are rotated to the NBH for 6 months, you can request 2 weeks leave.
  • Anaesthetic Trainees (rotating from RNSH) - leave approval and relief is the responsibility of the NBH roster manager. As a rule, if you are rotated to the NBH for 3 months, you can request 1 weeks leave.

Emergency ATs, Emergency PTs, Emergency SRMOs, ICU Trainees and SRMOs, Obs and Gynae Provisional Fellow and UTs, Paediatric Provisional Fellow and AT (recruited through Mona Vale Hospital). All rostering, leave approval and relief is the responsibility of the NBH roster manager.

Sick Calls

Courtesy - Please always consider your team, and thank a colleague if they are activated as a result of your leave or had to cross cover. We understand that at times sickness and emergencies are unavoidable. However, should another colleague step in, or take on additional tasks as a result, it is appreciated when you acknowledge this.

There are 4 rooms available. Each room contains a single bed, wardrobe, charging facilities, bedside table and desk with a phone. There is access to a shared bathroom facility with a shower for the on call staff. Rooms are serviced by housekeeping on request, and clean linen and towels are located outside of the rooms.

Bookings are to be made via the JMO Unit. A JMO on-call can make a provisional booking during the day, but if an unexpected need arises you can also contact the AHNM who is onsite after hours to access one of the rooms.

To make a booking:

1. Call or email the JMOU with your requested booking period – 02 9015 5486 or jmounitmail@healthscope.com.au

2. The JMOU will confirm availability and update the online booking register (shared with the AHNMs and Security)

3. Organise a time to collect the key from the JMOU between 07.30am and 4.30pm Monday to Friday

4. If you need to collect a key outside of this period and have booked a room, the key will be left in the Staffing Office

5. If you are booking the room after hours/without advance notice, you may be given room access from Security, once the AHNM has confirmed availability, however you will not be allocated a key


Important: Lost keys will incur a replacement fee of $50

Failure to return a key will result in locks being changed and staff being blocked from accessing the rooms in future

Staff must leave all dirty linen in the linen skip outside the rooms and leave the room in an appropriate condition for the next staff member.

Pharmacy Scripts

JMOs are required to sign a hardcopy of their pharmacy scripts.

These will be printed by Pharmacy and delivered to the JMO Unit on a weekly basis (except for ED and Psychiatry staff who will receive them via their department).

If you are in Medicine or Surgery, please sign the scripts at your nominated handover.

For all other departments, you will receive a text message to come to the JMO Unit to sign your scripts. Your supervisor will support you attending the JMO Unit during your shift to ensure this process is completed.

Most departments will have some kind of formal handover in place. If you aren’t sure, ask your Supervisor or Head of Department.

Mandatory Clinical Handover Times for Medicine & Surgery:

If you work in Surgery - handover is held at 0700 Monday-Friday.

If you work in Medicine – handover is held at 0800 Monday-Friday.

If you work in Relief/Evening – handover is held at 1330 Monday-Friday (handover of rapids pager to Evening Reg).

If you work in Night Team (Medicine and Critical Care) – handover is held at 2145 Monday-Friday (handover of rapids pager to Night Reg).

All other departments will advise accordingly.

Healthscope Online Learning (ELMO)

The Healthscope Company Induction online course is designed for new employees to complete, as part of their overall orientation to Healthscope. It serves as a vehicle for delivering key corporate policies such as the Code of Conduct, Workplace Health and Safety and others. All of your JMO learning will be available on your profile when you log in via the Healthscope eLearning Centre. Employees will need their Payroll Number and Healthscope password to login.

NSW Health JMOs must complete online learning via their LHD accounts in My Health Learning (MHL).

All JMOs are responsible for ensuring their mandatory training is always up to date. If you need time off to attend a face-to-face course, please talk to the JMOU.

Mask Fit Testing

Please ensure that you have been mask fit tested with any of the listed masks below as these are what we stock at NBH. Please advise ASAP if you have not been mask fit tested with any of the below masks:

If your preferred mask is unavailable at NBH, please contact the JMO Unit to arrange for a fitting. If mask fit testing is required please ensure that you are cleanly shaven. In the interim, please wear the supplied N95 masks or surgical mask (as per your department).

If appropriate, a request to access the M&M folder will be submitted on your behalf as per your speciality requirements.

To access the M&M folders, you will need to use a Healthscope computer that has access to the share-drive (L: Drive). The path on the shared L-drive is below: L:\Meetings\Private\M&M

iPhones

In Medicine/Surgery – iPhones are allocated per team. Please ensure you carry the correct phone - numbers are circulated throughout the hospital wia the whole of hospital contact list and will be the primary contact method.

Advise the JMOU if there are problems with your phones!

Do not divert phones, or take them home.

If you have a query regarding your pay, please contact the JMO Unit with relevant dates/pay periods/issues. If the query is simple, the JMO Unit can clarify this over email. For more complex queries, we can request a detailed payroll summary report from the NBH Payroll team in Head Office or escalate to them to investigate.

In Dimensions employees can also view their Timecard on the UKG app or on the computer. The Dimensions Timecard can be accessed via the main menu icon (3 lines at the top left corner), under ‘My Information’. Your timecard should be correct, as this information is used to pay you, so check it regularly.

Payslips - The JMO Unit do not have access to your payslips.
Open the intranet or follow this guide and use your Healthscope email address and network password to access My Pay. If you are unable to log in, please contact the IT service desk on 1300 477 488 (option 1).

LHD Employees - NSW Health

Access your payslip using Stafflink/SARA. You will need your work email address (@health), your Stafflink ID and system password. Contact the Mona Vale JMO Unit if you have queries about your pay.

If you have a query, you can contact the Mona Vale team in the first instance, and they will assist you, or escalate to the NBH team for advice.

Shift Swaps

We understand that you may wish to swap shifts at times. It is your responsibility to ensure that any swap does not result in overtime, and that you also swap your on-call if it occurs on the same day.

Uniforms

New starters will automatically receive a link to order from our supplier, Workwear to order their uniforms. Uniforms are shipped directly to the employee's home address.

If a uniform is faulty or you require an exchange (size, style, etc), please contact Workwear directly and quote your invoice number. They will then send you a label which you can use to post the items back for an exchange at no extra cost.

At this stage, there is no recycling program for old uniforms.
